Studio 23 Health and Safety Work Enviroment

Studio 23 is committed to providing and maintaining a safe and healthy workplace for all staff, and to providing the information, training and supervision needed to achieve this.

Studio 23 will take responsibility for Health & Safety procedures, however, contractors/employees need to be aware of their responsibilities and comply with the business’ health and safety policy.

Each employee is encouraged to play a vital and responsible role in maintaining a safe and healthy workplace through:

-       Being involved in the workplace health and safety system

-       Following the correct procedures

-       Wearing protective clothing and equipment as and when required

-       Reporting any pain or discomfort as soon as possible

-       Ensuring all accidents and incidents are reported

-       Helping new employees, trainees and visitors to the workplace understand the right safety   procedures and why they exist

-       Advising your manager immediately of any health and safety concerns

-       Keeping the work place tidy to minimize the risk of any trips and falls

 

During the course of any assignment, it is your responsibility to be aware of your surroundings.  Know the closest exit door in case of emergency.  Be familiar as to where you are positioned in store or at your location.

In the event of a fire or emergency evacuation, Fire exits these are clearly identified in store and on location.  Make yourself aware of these locations.

On the following pages are Assignment Mandatories and Health & Safety procedures when out in the field on whatever assignment you are given.  Please ensure that you are familiar with each of the procedures and systems, and if you have any question or concerns, please advise your manager immediately.

Administration

Product Brief   - this is on our portal studio23.work and the password is promostaff                        

You must read the product brief provided.  This is on the right handside of the menu on the online portal. If you are unsure of anything in the brief, please call Studio 23 Head Office, the number to contact will be on the brief

Assignment Schedule            

You have committed to work the days and times as assigned to you by Promostaff.  You cannot change the days and times unless discussed with Studio 23 Head Office

 

Report Form                          

Report forms are on the on line portal, which in always the last paragraph on your brief   You must have check the report form so you know what information you need to find out from consumers, as well as stock sold so that this can be recorded on your report                                            

Report forms must be completed the day of the demonstration so your job is complete

 

 Demo Stock Stickers             

Any product samples that you are provided with, must be stickered on the day of your demo in store before you start your assingment. Always ask at check out for some stickers as we dont want any confusion over who stock this belongs to. Some stores will not have stickers but make sure the stock is shown to the Duty Manager and take a note of their name

Product & Equipment

Equipment                              

You will be sent equipment required for your assignment.  It is your responsibility to check the equipment on arrival, and that you are aware of equipment set up. This should always arrive approx. a week before the job, if this has not arrived we will trace it,so please contact us, do not leave this a day before the activity

Uniforms                                

Unless stipulated, you are required to have your own black trousers (no jeans) and black shoes for any assignment.  All other uniform items will be sent to you

 

Product                                  

If this is a sampling demo, sampling product is sent to you with your equipment.  It is your responsibility to check the quantity of product so that you know how the samples are to be distributed throughout your assignment                                       

If you are running low on product half way through your assignment, you must contact Studio 23 Head Office immediately so that we can advise you what to do

 

Product Distribution               

Samples are calculated for each assignment and product is sent according to these calculations.  While everyone loves free sampling, you are required to manage these samples so you don’t run out.  This also means talking to consumers rather than handing out samples to everyone.

 

Returns                                  

Leftover product (this belongs to the client) and equipment is to be packed and ready for collection.  Equipment and uniforms should be cleaned if they are being forwarded to someone, and you will be advised of who to address the package to. There will be a courier sticker sent to you.  At the end of your assignment, we will arrange for the courier to collect your boxes, normally after your demo its the following Monday, a courier ticket will be in your box so please attach that ready to come back to Studio23 and place this on your front door for the courier to collect and text/call us to say it is ready

 

Promostaff

Sickness/Lateness                

If you are sick and cannot complete your assignment, you must contact Donna 021 612 349

If you are going to be late to your assignment, you must Donna on above number so we can contact the store so that we can advise the store of your impending time of arrival

 

Parking                                   

Some stores will have a maximum parking limit, requiring you to move your car often.  We recommend trying to find a carpark on the perimeter of the store where you will not have to leave your assignment to move your car                                            

If you need to pay for parking at a mall etc, you must advise Donna immediately and get a receipt so we can reimburse you

 

Store Safe Passport              

You must have your Store Safe passport at all times during the course of any in store assignment.  If you don’t have a Store Safe, please contact Donna 021 612 349.  Everyone must sit the online test before they are issued with the Store Safe passport.

You are expected to work for PromoStaff for a minimum of 10x 2-day demonstrations, this is not all at once but spread as per work is allocated. The Store Safe Course costs $124.00 to complete. This amount will need to be paid back to Studio 23 if the minimum requirement is not met.

 

At The Store

Sign In                                    

You must “SIGN IN” at the customer service desk on arrival and ask for your store contact. 

By “Signing In” you are aware of your obligations under the Health & Safety in Employment act

Your store contact will advise where you will be set up

You must Clock in on your Parim app

 

Sign Out                                 

When you need to leave the store (at the end of your assignment), you must “SIGN OUT”

You must clock out on your Parim app

 

Health & Safety

Health & Safety                                  

All staff must follow instructions while on the premises, and must ensure that working practises create no hazard to people or property on the premises

 

Induction                                            

Some stores will require staff members to complete a Store Induction so that you are aware of all health and safety procedures within that store

 

Emergency Alarm                              

On hearing the continuous siren, please secure your area and leave the building immediately by the nearest, safe exit and follow directions to the Assembly point                                                           

Trial evacuations must be treated as a real emergency.  DO NOT return to the building until the warden has given you clearance to do so

 

Forklifts/Ladders                                

Under no circumstance, are you to operate any forklift, pallet jack or climb onto ladders within the store (even if you have a license to operate).  If you need assistance, ask for someone in the store who is authorised to use this equipment to help you

 

Smoking                                

Smoking is PROHIBITED whilst in store and also on your break in uniform

 

Accidents & Hazards                        

If you notice a hazard in store, please report it to the department manager or check out supervisor.                                                            

If you have an accident in store, please report it to the department manager or check out supervisor.  This accident must be recorded in your report

 

Chilled Products                                 

When demonstrating “chilled” products, product cannot be left out for more than 20 minutes

 

Staff Room In Store                           

In some stores the staff room is available for breaks, or cleaning your equipment. You must ask if you this is OK for you to use. It is not to be used for conducting meetings, soliciting business or selling product.  Please clean up after you have used it
